Position Summary
The communications and marketing planning assistant provides
support to the Division of Student Affairs Communications and Marketing department. Job duties
include: planning and implementing a variety of DSA events on campus. This involves contacting
vendors, taking care of appropriate permits and reservations, volunteer coordination, set up and
clean up of events, creating room layouts, budgets, handouts, instructions, and timelines for event
staff, creating assessment surveys and collection of data from participants, meeting with and
contacting sponsors of events and departments within the division who are participating. The
planning assistant is expected to act as a part of the Marketing and Communications team, assisting
on projects when needed and providing creative ideas and support. To be a successful candidate one
must be able to work independently and prioritize work for multiple projects with deadlines.
Required Qualifications
Successful candidates must have prior experience in
event planning in a University setting and should have extensive computer experience, to include
Microsoft Office and email applications; should have prior experience working with and entering
information into the easy projects online management system; ability to assist with the development
of event budgets and work within stated plans to meet financial goals with direction from the
Associate Director and Office Assistant; extensive organizational skills; ability to handle and
manage on-site changes and emergencies during an event; ability to work on numerous projects and
details accurately and simultaneously; excellent interpersonal and communications skills; ability to
work cooperatively and respectfully in groups and with individuals of diverse backgrounds.
Preferred Qualifications
Bachelor's degree and/or equivalent experience in a
related field; prior experience with invoicing and budgetary expenditures.
